Email templates and questionnaires to make clients feel welcome and to set crystal-clear expectations
Rachel works in a unique ‘Design Day’ format, providing her clients with undivided attention for a full day (or three, depending on the size of the website she’s designing). To help make sure that her clients are fully prepared as the Design Day approaches, and Rachel has everything she needs, we created a series of onboarding emails and questionnaires.
I started by taking Rachel’s existing email templates and forms, and Dubsado-ifying them by adding appropriate shortcodes and pre-filled fields. Then I added additional emails so that we had templates for every email in the customer journey, applying some of Rachel’s brand tone and language. Finally, Rachel went over the copy document and gave it a once-over before I set up the canned emails in Dubsado.

As a web designer, Rachel offers custom designed websites that are SEO-savvy and, importantly, attractive. Because her graphic design prowess is an important part of her service, Rachel’s forms needed to be equal parts beautiful and functional. I got to work applying Rachel Jane Design’s visual branding across Rachel’s Dubsado forms (including the proposal, questionnaires, and even the contract). This provides her customers with a consistent (and consistently beautiful) experience across the customer journey.

Schedulers and automations
Taking the hassle out of scheduling and admin
Previously, Rachel spent a lot of time emailing clients back and forth to settle on suitable dates for the Design Days, as well as providing all of the onboarding information. We too all of the hassle out of that admin by automating all of the onboarding steps and creating bookable calendars that clients can use to select Design Days that suit them.
Since Rachel’s web design service is bespoke and high-touch, we added several points where Rachel has the opportunity to quickly customise forms or emails before they’re sent (for example, adding a personal message to the proposal) for a personal touch. The rest of the process (including reminder emails for meetings, Design Days, questionnaire completion, and payments due) is completely automated.

“Before working together I had no real automation, just a copy and paste of all the common emails I sent in the notes app on my desktop. Then I’d change the email but forget to change it in the notes so have to look up previous sent emails to find the latest copy. I managed all my clients in a spreadsheet.
